10 Senior Living TipsHere are 10 bright ideas on how the operations team can WOW senior living prospects and help increase sales and occupancy.

  1. Does the housekeeping department touch up the entrance to the senior living community and tour path areas several times per day (particularly in the fall when leaves are everywhere)?
  2. Are the retirement community’s walls touched up by maintenance on a regular basis (as they get marked up by walkers)?
  3. Will dining services make a WOW presentation of the food and use the china instead of disposal plates and styrofoam cups?
  4. Are the receptionists willing to stand up to greet marketing guests?
  5. Does the activity director reschedule resident classes in advance, so residents are not angry with the marketing staff on the day of an event (seniors don’t like short notices)?
  6. Will the transportation department pick up senior living prospective residents who don’t drive and transport them to and from the senior living community for a tour?
  7. Are the landscaping, signage and building exterior in prime condition for first impressions?
  8. Does every department head go out of their way to introduce themselves to senior living prospective residents?
  9. Has every manager encouraged their frontline staff to smile and greet all guests and residents?
  10. Will department heads take two hours per month to help at sales and marketing events?

How Many Calls Does Your Senior Living Sales Team Make Per Month?

Senior Living CallsRecently, I received an email from retirement counselor at a four-year-old Continuing Care Retirement Community (CCRC) in California.  He talked about being busy making 500 calls per month.  I asked if that was 500 calls for just himself or was it 500 calls for the team of three senior living sales people?  The answer was 500 calls for the entire team.

Just an FYI for administrators and senior living sale people – 500 calls for a senior living sales team of three is not great.  Each retirement counselor should be personally generating 300 calls or more in order to increase the occupancy.

We track database calls with all my senior living sales teams.  For the month of October, one of my CCRC marketing directors rocked with 469 calls.  Even with all her responsibility, she set the pace.  One of the retirement counselors generated 340 calls and another made 315 calls.  These three team members produced 1,124 calls in one month!  This included inbound and outbound calls.  This CCRC team is one of the hardest working teams that I have ever encountered.

What is the result?  Tours, tours and tours!  What comes from tours?  Move-ins!  Move-ins increase your occupancy and generate revenue.  How many calls are you and your teams creating per month?  Do you track it?  You should!

Stop Multitasking and Increase Sales in Senior LivingAre you juggling these 10 things all at the same time in your assisted living, memory care, skilled nursing care or Continuing Care Retirement Community (CCRC)?

  1. The phone is ringing with a new inquiry
  2. There is a new walk-in in the lobby
  3. Scheduled tours are arriving
  4. Going to a meeting requested by your Executive Director or Director of Marketing
  5. Working with maintenance to make sure the apartment is renovated properly
  6. Finishing the paperwork for a new move-in
  7. Calling the doctor to have them send back a medical report for a new move in
  8. Touring a family member of an upcoming move-in
  9. Residents coming in the office to ask questions
  10. Preparing for the next event

What is not on this list? What about calling or following-up with anyone in your database? I know…you don’t have time. But you do have time…

Did you know it takes 25 to 40 percent longer to get a job done when you are multitasking? Yes!! So how do you become more efficient? Work on one task at a time. Shut the door to your office for one hour and just make calls in the morning. If you do this everyday, you can make about 15 calls a day.

Two things will happen if you take the time to increase your calls:

  1. Your sales will increase, because you will be proactively marketing versus reactively waiting for every customer to call you back.
  2. Your occupancy will rise, because the percentage of senior prospects who select an apartment on the first tour are low. The average person touring assisted living needs to see it three times and CCRC sales can take three to six visits.

Focus on one task at a time and become more effective and efficient – EVERYTIME.

Persistence in Senior LivingYes, this blog post is about one word for senior living sales people today!  Do you have it or not?

  1. Persistence is 100 phone calls a week, when you don’t have many tours happening.
  2. Persistence is believing a senior will move in eventually, even when they say they are not ready yet.
  3. Persistence is calling back your sale, just to make sure they are okay – when they may be very stressed out about moving to your community.
  4. Persistence is continuing to smile and dial after hearing 15 no’s in a row.
  5. Persistence is calling someone back after they hung up on you a week ago (they were only having a bad day and now they are fine).
  6. Persistence is generating the energy between 3:00 to 5:00 PM to continue calling the database.
  7. Persistence is calling someone the next day after a tour or an event, while the prospect’s emotion is still high.
  8. Persistence is asking a senior what their time frame is for moving in, after they said they are not ready yet.
  9. Team persistence is calling through your retirement community’s database every four months.
  10. Persistence is leaving a message for someone once a month for year and they finally walk in your office, recognize your voice and say they are ready to move in now – yes this happened to me.

Some senior living sales people know it all!  Do you have one of these?  Others are like sponges and thrive learning a new technique or improving their sales performance.

Role-playing as a team can help standardize sales techniques. This could happen at a weekly sales meeting, but I think a retreat format can be more effective.  It’s hard for a senior living sales person to switch off working and jump into role-playing.  It’s better to set the stage in a comfortable atmosphere.  Last week we talked about the importance of a sales and marketing retreat to rejuvenate and inspire the team.

Here are some great topics to role-play:

  • The opening greeting and questions for a walk-in prospective resident
  • Discovery questions – make sure seniors don’t feel interrogated
  • Giving a “wow” tour
  • How to prevent objections
  • A variety of closes
  • Asking for the deposit – multiple times

In a team environment, there are always stronger sales performers.  Have them role-play first.  It makes them feel valued and other sales people can learn from them.  If no one on the team knows how to do the role-playing topic correctly or it’s a new technique, always teach by example first.

Everyone hates role-playing, but boy does it work.  Watch the sales increase and your occupancy go up, up and up.

Sales Meeting TIPS to Increase the Occupancy in 2013!

Increase the occupancy in senior livingIt’s time to grow your senior living occupancy in 2013!  Let’s motivate the sales team on how to achieve your senior housing community’s goal. I assume you already have a budget of how many projected move-ins are required and the projected amount of move outs for your retirement community (The number of move outs seem to get higher every year – doesn’t it?)?

For those of you in smaller communities you may be having a sales meeting with yourself or one other person.  The rest of you probably have a team of 2 to 4 sales people to motivate.  Some sales people get very overwhelmed with the yearly goal. When they hear that 50 CCRC entrance fee move-ins or 120 assisted living move-ins are budgeted, you can look for the squirming in the seat and eye rolling. This means they don’t believe.

Well, it’s your job to believe the occupancy goal and encourage your people to believe.

Here are some tips to turn them into believers.  Break down the yearly occupancy goal into monthly goals.

  • How many sales are needed per month?
  • What is each person’s monthly sales goal?

For a Continuing Care Retirement Community (CCRC) with three sales people and a goal of 50 move-ins – that’s 4 sales a month and about 1.3 sales per person per month.  Calculate how many tours are needed per person and how many calls on average will draw in the tours per month.

For the same CCRC example it ends up being:

  • 60 tours a month and 1,200 team phone calls per month or
  • 20 tours and 300 calls per month for each sales person or
  • 5 tours a week and 75 calls in a week for each team player

How easy is it for one person to do 1 tour and 15 calls in a day? This is how the 50 move-in yearly goal breaks down.  It’s very easy to hit the yearly goal with a great team, a good organization, planned advertising to draw in new faces, excellent quality of programming, superb food and a first-class reputation of caring for the residents.  It can be so simple to hit the goal for 2013.  Just break it down for your team, BELIEVE and then your team will BELIEVE too!
